Quilt Show News for September 2, 2025

Apologies for the partially duplicated Quilt Show News mailing that was sent on Monday. We got ahead of ourselves and forgot to adjust the publishing schedule.

 

Show Set Up

Thank you to everyone who came to the set-up demonstration at the September Guild meeting. 

Set-up will start on October 23 with checking in your quilts beginning at 7:45 am. All quilts must be checked in by 9:00 am. Be sure to pin your ID card to the lower left corner of the back of your quilt using a safety pin at the top and bottom of the card. When you fold your quilt, make sure the ID card is visible for check-in. 

No food or drink will be allowed in the gym. Purses and coffee can be left in the hospitality room, which will be staffed at all times. 

Team leaders will meet for instructions at 8:30 am. A general meeting with all participants will start at 9:00 am. We will work as teams, each assigned to a row. Each team will have a lunch break with lunch provided by the guild. (Be sure to sign up for setup on Thursday so we can count you in the lunch order.)

The Boutique and Silent Auction set-up will begin when all the quilts are hung. Vendors will arrive at 12:00 pm to begin their setup. Hopefully, we will be finished with our setup by 2 pm.

Helpful items to bring on set-up day:

  1. Clean, coated garden gloves for protection when handling the metal conduit.

  2. Collapsible wagon (please mark clearly with your name)

  3. A 3- or 4-step stepstool (mark clearly with your name and contact information)

  4. Small pocket tape measure for measuring the distance between quilts

Check-In and Check-Out

Check-in will be held from 7:45 am to 9:00 am on Thursday, October 23. Check-in staff will arrive at 7:30 am to prepare our workspace and review our jobs. Quilts must be folded so that the 4” x 6” ID card is visible, pinned to the lower left-hand corner of each quilt with two safety pins. 🧷 If you have misplaced your ID card, we will have a duplicate available, and you may attach it that morning.

Check-out will be held after all the quilts have been taken down, folded, and sorted after the show closes. No quilts will be released until ALL the quilts are down. Please be patient; this usually runs smoothly! All members will be able to help with “take down” as some jobs are sit-down. Quilts are then assembled on tables by our committee and returned by runners after each one is officially requested by the maker (or another individual chosen by the maker).

Hospitality

Hospitality has a slightly new look this year. We cannot do a community potluck as we used to years ago. CLC has insufficient outlets to plug in heating devices and not enough space for dishes brought in from home. Consequently, the only day the guild will supply lunch for Village Quilter members is Set-up day. 

On Thursday, CLC’s caterer will deliver sandwiches for us at 11:30 a.m. There will be three kinds of sandwiches: turkey, roasted vegetables, and ham and cheese. Bottled water and cookies will also be provided. The sandwiches will be available on a first-come, first-served basis. If you would prefer to bring your own lunch, feel free to do so. Alternatively, there are several nice places that are close to the college where you can grab a sandwich or sit down for lunch. 

On Friday and Saturday, bottled water and cookies will be provided for the members, but no sandwiches will be available. (Lunch will be provided only for the vendors.)

On Saturday, the caterer will provide coffee, tea, and all the necessary things that go with that for the Quilts of Valor Presentation. A sheet cake, plates, and forks will be brought in by the Quilts of Valor Committee.
